Scheduling

Building a 30-day content calendar (with a free template)

Build a 30-day social media content calendar step by step: pick content pillars, set posting frequency, batch, approve and schedule. Free template included.

On this page

A 30-day social media content calendar is a one-month plan in which every day has a content pillar, a format, a target network, a post idea and a status. To build one, pick 3 to 5 content pillars, decide how often you will post on each network, fill the grid using the template below, batch-create the posts, get them approved and schedule them. At the end of the month, review the numbers and use them to plan the next 30 days.

This guide covers each step and includes a free template you can copy as a Markdown table or as a CSV for Google Sheets or Excel. If you would rather start from a pre-filled draft, the free social media content calendar generator builds a month of post ideas from your business description.

Why plan in 30-day blocks

A month is long enough to cover a full content mix and short enough that your ideas stay current. It also matches how most analytics dashboards report data. LinkedIn Page analytics, for example, lets you pick preset time ranges, and the Instagram professional dashboard summarises the people you reached over the last 30 days. So each review compares like with like.

A 30-day block also gives you a clear cycle of plan, batch, approve, schedule and review. If you want the bigger picture of how scheduling fits into a social strategy, read our complete guide to social media scheduling. For the system that keeps a calendar running month after month, see content calendar management.

Step 1: Choose 3 to 5 content pillars

Content pillars are the recurring themes your account is known for. They keep the calendar varied without making you invent a new strategy every week. Fewer than three gets repetitive. More than five spreads your effort too thin to learn which theme works.

Here is a starting set that suits most small businesses, creators and B2B brands. Rename them to fit your business.

PillarWhat it coversExample posts
EducateHow-tos, tips and answers to customer questions"3 mistakes to avoid when…", checklists, explainer carousels
Behind the scenesPeople, process, workspaceTeam intros, "how we make it", day-in-the-life clips
CommunityCustomers, user-generated content, conversationReposts with permission, polls, questions, replies to comments
PromoteProducts, offers, launchesProduct demos, feature spotlights, limited offers
Culture and trendsIndustry news, timely moments, light contentReactions to news, seasonal posts, trending audio

To choose yours, answer three questions:

  1. What does your audience ask you most often? Those questions become your Educate pillar.
  2. What makes you different? That becomes Behind the scenes or Promote.
  3. What do you want people to do? Make sure at least one pillar leads to that action (buy, book, sign up, follow).

A common split is to keep promotional posts to a minority of the month and fill the rest with useful or community posts. In the template below, Promote takes 5 of the 30 days.

Step 2: Set a posting frequency per network

Frequency is where most calendars fail. People plan a pace they can't keep up. Pick a number you can sustain for the whole month and increase it only when the workflow is running smoothly.

For reference, Hootsuite's 2025 guide on how often to post gives these ranges. It bases them on best practices, comments from platform executives and input from social media managers.

NetworkHootsuite's 2025 recommendation
Instagram (feed)3 to 5 times per week
Instagram Stories2 times per day
Facebook1 to 2 times per day
X2 to 3 times per day
LinkedIn1 to 2 times per day
Threads2 to 3 times per day
TikTok3 to 5 times per week
PinterestAt least 1 time per week
Google Business ProfileAt least 1 time per week

Those figures assume a dedicated social team. Our starting suggestion, not a benchmark: if you are a small team building your first calendar, start with one post per weekday on your primary network and 2 to 3 posts per week on each secondary network. Adapt each post rather than writing everything from scratch. After 30 days, raise the frequency on the networks where posts performed well. Hootsuite's guide does not give figures for YouTube, Bluesky or Mastodon, so set those by the same rule: a pace you can keep.

Step 3: Map formats to networks

The same idea can become a different post on each network. Decide the main format for each network before filling the calendar, so the "Format" column follows a rule instead of guesswork.

NetworkPrimary formats to plan forPlanning note
InstagramReels, carousels, StoriesCarousels suit Educate posts, Reels suit Behind the scenes
TikTokShort vertical videoCan reuse Reels footage, re-edited for the platform
YouTubeShorts, long-form videoOne long video can be cut into several Shorts for the month
LinkedInText posts, document carousels, imagesBest home for Educate and industry Culture posts
FacebookImages, video, links, eventsGood for Community and Promote (offers, events)
X, Threads, Bluesky, MastodonShort text, threads, imagesTurn one Educate post into a thread
PinterestVertical pins linking to a pagePin evergreen Educate content that links to your site
Google Business ProfileUpdates, offers, eventsUse for Promote posts and local news

For exact image and video dimensions for each network, see our image and video size guide.

Step 4: Fill the 30-day template

Here is the free template. Each row is one day. The Pillar column rotates so no theme repeats too often. The Format and Network(s) columns follow the mapping above. The Idea prompt is a fill-in-the-blank you adapt to your business. Status tracks the post from idea to scheduled.

Use these status values: Idea, Drafted, In review, Approved, Scheduled, Published.

The mix is 10 Educate, 5 Behind the scenes, 6 Community, 5 Promote and 4 Culture and trends days. Delete networks you don't use, and add a Date, Time, Owner or Link column if your team needs one.

Step 5: Batch the month in one or two sessions

Batching means creating many posts in one focused block instead of one post a day. It reduces context switching and gives reviewers one big set to approve instead of a constant trickle. A practical batching day looks like this:

  1. Prep (before the session). Collect raw material: photos, customer reviews, FAQs from support, product updates and key dates for the month.
  2. Write captions by pillar, not by day. Write all Educate posts together, then all Promote posts. Staying in one mindset makes writing faster.
  3. Shoot video in one setup. Record every short-video day (Days 2, 6, 10, 12, 19, 26 and 29 in the template) in one sitting with the same lighting and background.
  4. Design visuals from templates. Use one carousel template and one quote-card template so posts look consistent.
  5. Adapt for each network. Shorten for X and Threads, add context for LinkedIn and use vertical crops for TikTok, Reels and Pinterest.
  6. Update the Status column to Drafted as each post is finished.

AI writing tools can speed up the first draft. The free Instagram caption generator and LinkedIn post generator are useful for steps 2 and 5. Always edit the output so it sounds like you.

Step 6: Approve before anything is scheduled

Even a solo creator benefits from a second look. For teams and agencies, approval prevents the most common mistakes: wrong prices, broken links, off-brand tone and posts that clash with current events.

A lightweight approval checklist:

  • Is the information accurate (prices, dates, names, claims)?
  • Does every link work, and does it have tracking parameters if you use them?
  • Is the post the right format and size for the network?
  • Is the tone on-brand, and is the call to action clear?
  • Do you have permission for any user-generated content or third-party images?
  • Could anything read badly next to current news? Check again on the day it goes out.

Move approved posts to Approved. Anything with requested changes goes back to Drafted with a comment. Agencies that run this across several clients can read how agencies manage client content calendars.

Step 7: Schedule the month

Once posts are approved, load them into a scheduler so they publish automatically. Then you only need to check in for comments and replies, not to post every day. If your posts are already in a spreadsheet, see how to bulk schedule social media posts.

The Social9 content calendar puts every network in one drag-and-drop view, with review stages and approvals built in. It can also suggest posts to fill empty slots, so a gap in your template doesn't become a gap in your feed. For timing, start with general guidance like our best times to post on social media, then adjust to when your own audience is active.

Update the Status column to Scheduled as you go. Leave a few open slots each week for timely posts you can't plan in advance.

Step 8: Review after 30 days

The review is what turns a calendar into a strategy. Export or note these metrics for every post, then group them by pillar and format:

MetricWhat it tells youUse it to decide
Reach / impressionsHow many people saw the postWhich pillars and formats get distributed
Engagement rate (interactions ÷ reach)Whether people caredWhich ideas to repeat or drop
Saves and sharesWhether the post was useful enough to keep or pass onStrong signal for Educate content
Link clicksWhether the post drove trafficWhich Promote formats work
Follower changeWhether the month grew the audienceOverall pace and network priority
Watch time / average view duration (video)Whether people kept watchingVideo length and hook quality

Each network's native analytics has these numbers:

If you would rather see every network in one report, a cross-network social media analytics tool saves you from copying numbers between dashboards.

Then run a short retrospective with three questions:

  1. Which pillar and format performed best? Give it more days next month.
  2. What underperformed twice or more? Change the format or drop the idea.
  3. Was the frequency sustainable? If posts were rushed, lower it. If batching went smoothly, add posts on your best network.

Copy the template, update it with what you learned and you have next month's calendar.

FAQ

What should a 30-day content calendar include?

At minimum: the day, the content pillar, the format, the target network or networks, the post idea and a status. Many teams also add the publish time, an owner, links to assets and the final caption.

How many posts do I need for a 30-day calendar?

It depends on your networks and capacity. The template above has one idea per day, adapted across several networks. Hootsuite's 2025 frequency guide gives per-network ranges if you want a reference point. A smaller pace you can keep up beats a bigger one you abandon in week two.

How many content pillars should I have?

Three to five. That's enough variety to keep the feed interesting and few enough that you can tell after a month which themes your audience responds to.

Can I reuse the same post on every network?

Reuse the idea, not the exact post. Adapt the length, format and crop to each network. A LinkedIn carousel can become an Instagram carousel, a short X thread and a Pinterest pin.

Is there a free tool to generate a content calendar?

Yes. The free social media content calendar generator drafts a month of post ideas you can paste into the template above. For more planning and scheduling guides, browse the scheduling hub.

How often should I update my content calendar?

Plan the full month once, check it weekly to swap in timely posts, and do a full review at the end of each 30-day cycle before building the next one.
